Event Cancellation Terms and Conditions:

Payment  

The event fee is to be paid in full by the due date on the invoice.  

Cancellation Requests by attendees for paid events  

• Refund Terms: 

• Full Refund: Cancellations made four weeks before the commencement date for field trips and cancellations made one week prior to the conference/other paid event types will receive a full refund.  

• No Refund: Cancellations made less than four weeks before the field trip and less than one week for conferences/other paid event types are not eligible for a refund. 

• Transfer of Tickets: If participants are unable to attend, they may transfer their ticket to another person with prior notice. The transfer of a ticket for a field trip requires a minimum of 48 hours notice and conference tickets can be transferred up to and on the day of the conference. Note: depending on the notice period altered dietary requirements may not be able to be catered for.  

Event Cancellation by AEGN 

• If the event is cancelled by the AEGN, 100 per cent of the fee will be refunded. 

Event Rescheduling: 

• If AEGN reschedules the event, participants will have the option to:  

• Transfer their registration to the new event date without any additional cost.  

• Request a full refund if they are unable to attend on the new date.  

Refund Processing 

• Refunds will be processed within 14 days of the cancellation or refund request. 

Force Majeure 

• In the event of cancellations due to force majeure (e.g., natural disasters, government restrictions, pandemics), AEGN will not be liable for any costs incurred by participants (such as travel or accommodation expenses). However, participants will be offered a full refund or the option to transfer their registration to a rescheduled event. 

The AEGN reserves the right to vary this policy where circumstances warrant a variation.  

For certain events the AEGN may develop specific event terms separate to this policy.  Any such terms will be communicated to participants during the ticket purchasing process.  

 The AEGN reserves the right to make minor adjustments to event programs, speakers, or venues. In the case of such changes, the refund policy stated above will still apply.
